It is invaluable to see for yourself how the premises look and how they are equipped and how the logistics should work. Also look at the hotel rooms if the participants will be staying overnight. Discuss the details with our project managers or conference planners, such as content and the feel you want your meeting to have. Go through your requests for meal menus, times and other practical things. This way you get to know us at the same time, which is the key to a successful conference!Are there any special needs? Keep in mind that you may need to adapt and take into account allergies or disabilities. Our kitchen and service staff make sure to solve all kinds of requests that you might have. They also ensure that nothing falls out.Transport Flight, train, bus or taxi. Coordinate transport with an efficient and affordable itinerary. Something that saves both time and money. Of course, we can help you with this.Make sure to start correctly Make sure everyone is there in good time and that everyone gets a good start. Being there for a cup of coffee before you start is usually enough for everyone else to gather their thoughts and be fully present during the meeting. If you want to do something extra, you can get together earlier and do a joint run or a training session. We can help with all of this.Stick to the agenda Make a clear and concise agenda that you share with all participants right at the beginning of the day, if not earlier. Make it clear when there is coffee break, lunch and dinner and then try to stick to this. So the participants don’t have to wonder and they can instead concentrate on the meeting itself.Top up the batteries For a successful meeting, regular breaks with leg stretchers are required. A break to mingle, recharge, get some oxygen or answer that urgent email is very important to get the most out of the active meeting sessions.
